Hotel pre-arrival form
Guests share arrival time and the occasion, so the room is ready and the cake is waiting.
What's inside
Guests give their arrival time; a pickup asks for the flight number, and a birthday, anniversary or honeymoon asks who and when. Pickup guests are told the driver will wait; the rest get directions.

Using a pre-arrival form
Send the link with the booking confirmation, and again about a week before arrival. Most guests reply the second time, once their plans are set.
Arrival times plan your day. A late arrival means a key box or someone on the desk; an early one means a bag drop and a coffee.
The occasion answers are where small hotels win reviews. A card and a slice of cake on the right day cost little and get mentioned.
Hosting guests for a wedding or retreat instead? The airport pickup request collects seats and bags for every flight.
Pre-arrival form questions
Can vacation rentals use it?
Yes. Change the name in the title and swap airport pickup for early check-in if you don't offer transfers. The ending logic follows the answer, not its words. Guests who say no already see an ending that promises directions and the door code the day before. Change that text to your own self check-in steps, and the form does the rest.
Does the form ask for card or ID details?
No. Keep payment and ID with your booking system. The form asks only what helps you prepare the stay. Guests are wary of links that ask for card numbers, and a short form with no sensitive fields gets more replies. If your country requires guest registration, collect ID at check-in as your local rules say.
Why is the arrival a time and not a date?
You already have the date from the booking. The time is what changes how you staff the desk. For guests who asked for a pickup, the flight number lets your driver check for delays, so the time you plan around stays right. For arrivals after 10 pm, reply with how late check-in works, since that is when guests worry most.
