Planning VBS from the registrations
Open registration six weeks out, when families plan their summer. Most VBS weeks fill in the first ten days.
Grades build your crew groups. Export the replies, sort by grade and you have the lists for each leader.
Allergies are asked per child, so the snack team reads one line per name instead of a paragraph from each parent.
Print the pickup list for the check-out table. Anyone not on it waits while you call the parent's number.
VBS registration questions
Can a family register three kids in one form?
Yes. The parent enters how many children, up to five, and the form asks a name, grade and allergies for each. One reply covers the whole family. The pickup question is asked once, so the names a parent gives apply to every child. A family with more than five children sends a second reply.
Can I cap how many children attend?
Set a response limit in the form's settings, or a closing date. A limit counts families, so set it from your average family size. If families register about two children each, room for 60 kids means a limit near 30. Say in the intro that places are limited, so families register early.
Do we need a separate volunteer form?
Yes, keep them apart. Parents register children here, and the volunteer shift sign-up gives each helper a job and a time without mixing the lists. Many churches ask adults who work with kids to pass a background check, so start recruiting about two months before VBS and give the checks time to clear.
