Make a sign-up form with limited spots
Give each session or time slot its own seat limit in a free form builder made for sign-ups.
How do I make a sign-up form with limited spots?
Fillio is a free online form builder for events, classes and bookings, and you can build the whole sign-up before you create an account.
- 1
Create the form
Describe it in one sentence with the sessions as choices, or build it block by block in the editor.
- 2
Set a limit on each option
Hover an option in the editor and type the number of seats, like 12, into the small # beside it.
- 3
Share the link
Send it in a group chat or an email. People sign up from any phone or laptop without an account.
Full options close for everyone at once
Three things keep a session from getting more names than seats.
No refresh needed
When the last seat goes, the option is dimmed and marked Full on every open copy of the form.
No double booking
Seats are counted again at the moment each form is sent. If two people send the last seat together, the second is told the option is no longer available.
Earlier choices stay
Someone who picked the option before it filled keeps that choice.
Which session?
Close the whole form when you have enough
Seat limits work per option. Two form settings stop every session at once.
A total limit
Set a response limit and the form stops after that many sign-ups, with a message that it is full.
A closing date
Pick a date and time and the form closes on its own, even with seats left.
An email for each sign-up
Turn on email notifications and every new name reaches your inbox.
A sign-up sheet on the wall
Print a QR code for the form and pin it where people already are.
Which questions can have a limit on each option?
Every choice question: single choice, checkboxes, dropdowns and multiselect. Each option has its own limit, and an option with the limit left empty has no cap.
Can one person sign up for more than one session?
Yes. Use a checkbox or multiselect question. Each session keeps its own seat limit, and the Max selections setting caps how many sessions one person can pick.
Is there a waitlist?
There is no automatic waitlist. A simple way to keep one is an extra option called Waitlist with no limit. You then see those names in Submissions and can contact them when a seat frees up.
Can I write the whole form in one sentence?
Yes. Describe the form with the sessions listed as choices and Fillio builds the questions. The seat limits are the one part you add yourself, in the editor, before you share the link.
